The Role
We are hiring our first accountant to own daily finance operations. The volume is real:
hundreds of contractors around the world paid on weekly cycles, enterprise customers
billed from verified time data, and money moving constantly across our banking, card,
payroll, and payout platforms. Today this work is split between the founders and outside
firms. You will take it over, keep the books clean and current, and become the person who
always knows where every dollar came from and where it went.
You will work closely with our outsourced CFO and tax partners, and your work will feed
directly into decisions the founders make every week.
What You’ll Do
• Billing and receivables. Prepare and send customer invoices, including weekly
invoices built from verified time tracking data and project invoices for deliverables.
Work customer AP portals and finance teams: W-9s, approval flows, payment status,
and follow up on overdue balances.
• Contractor payouts and payables. Process large contractor payout batches through
our EOR platform, review payout invoices before release, pay vendor bills, and keep
approvals and supporting documentation clean for every payment.
• Month end close. Own reconciliations across bank accounts, credit cards, payroll,
and payout platforms. Close the books monthly with accruals for revenue and
contractor costs, and keep the close calendar on schedule.
• Clean books. Maintain accurate categorization in QuickBooks Online with a chart of
accounts that supports reporting by customer and project. Messy historical
categorization should bother you enough to fix it.
• Payroll support: Support payroll runs, resolve exemption and registration issues with
our payroll provider, and reconcile payroll to the general ledger.
• Tax support. Prepare 1099s and W-9s, support R&D credit questionnaires, franchise
tax, and annual filings, and be the main contact for our outside tax preparers.
• Audit ready records. Keep records that tie every invoice back to underlying time and
delivery data, so that any customer question, audit, or dispute can be answered with
documentation instead of memory.
• Reporting and process. Build simple reporting the founders can rely on: cash
position, receivables aging, contractor cost by customer, and burn. Automate the
manual steps as you go.
What We’re Looking For
• 3+ years of accounting experience, ideally at a startup, marketplace, or services
business with high transaction volume.
• Strong command of QuickBooks Online and Excel or Google Sheets.
• Hands on experience with the tools we live in: Mercury or similar banking, Ramp or
similar cards, Bill.com, Gusto, and Deel or another global payout platform.
• You have owned a monthly close and real reconciliations, not just observed them.
• Experience paying or billing for contractors, including 1099 reporting and
international payouts.
• Extreme attention to detail and a habit of documenting as you go.
• Comfort operating independently in a fast moving environment where you are the
accounting team.
Nice to Have
• CPA, or progress toward one.
• Experience with usage or time based billing models.
• Experience supporting billing disputes, audits, or customer reconciliations with
documentation.
• Experience working alongside an outsourced CFO or accounting firm.
